The Challenge

Enterprise admin onboarding at Atlassian was fragmented. New admins faced a steep learning curve with no guided path from initial setup to optimised deployment. As the product suite grew more powerful, the gap between capability and comprehension widened.

The strategic opportunity was to reimagine onboarding not as a one-time setup flow, but as a continuous optimisation journey with AI as the intelligent guide.

Insight

Research revealed that admin proficiency at the 30-day mark was the strongest predictor of enterprise renewal rates, yet most admins reported feeling "uncertain" about their configuration choices.

My Role

I led the design strategy for this initiative, working to align three major divisions (Growth, Platform, and Commerce) around a shared vision for admin onboarding. This required:

  • Building the strategic narrative to secure M1 leadership buy-in
  • Defining the AI integration roadmap for intelligent onboarding
  • Designing the framework for scalability from setup to enterprise-scale optimisation
  • Facilitating cross-functional workshops to build shared understanding

Strategic Framing

I reframed onboarding from a "setup wizard" problem to an "ongoing enablement" opportunity. Through competitive analysis and internal data synthesis, I built the case that intelligent onboarding directly impacts retention and expansion metrics.

AI Integration Design

I designed the interaction patterns for AI-assisted onboarding, where the system proactively identifies configuration gaps, recommends best practices based on organisation size and industry, and learns from admin behaviour to personalise guidance over time.

Stakeholder Alignment

Through a series of structured workshops and design artefacts, I aligned leadership across Growth, Platform, and Commerce on both the vision and the phased implementation plan. This culminated in M1 buy-in and approved resourcing.

I proposed an AI-first approach rather than a traditional checklist-based onboarding. The AI would surface contextually relevant next steps based on the admin's actual usage patterns, not a predefined sequence. This was a significant departure from the existing model.

Secured M1 leadership buy-in across three divisions. The AI integration roadmap was approved and resourced. The framework was designed for scalability from initial setup through to enterprise-scale optimisation.

Reflections

This project taught me that strategic design work, the kind that happens before a single pixel is placed, is often the most impactful. Getting three divisions aligned around a shared AI-powered vision required equal parts design thinking, storytelling, and organisational empathy.

The future of enterprise onboarding is not about showing people where buttons are. It is about building intelligent systems that meet administrators where they are and guide them toward mastery.
